About 2 hours, most of it your formula cards.
Checked against Square's help center on .
1. Before you start (5 min)
In Square:
- Nothing to export first. Your Square stays, and On Hand connects to it.
- Have your Square sign-in handy, and your team's names as Square shows them.
In On Hand: Start your free trial and pick Square Appointments. Your checklist on Today (Move in from Square Appointments) follows these same steps.
2. Keep your Square (5 min)
In Square:
- Keep Square: the same Terminal, the same payouts, and saved cards stay in Square.
- Square's standard transfers are free and land the next business day for payments taken before 5 PM PT. Instant transfers cost 1.95%.
In On Hand: Settings → Connections → Square, and sign in to your Square. Every ticket you ring in On Hand (services, Product Use, retail) goes to your Square Terminal or the Square app.
Square says: "Instant transfer may not be available for sellers using Square APIs until they have sufficient account history."

3. Your team (5 min a person)
In Square:
- Have each person's first name exactly as Square shows it: Square's appointments find each person in On Hand by her first name.
In On Hand: Team → add each person with that name and a 4-digit PIN. Commission tracking goes on Reports → Pay.
Just you? Skip this one. Two people with the same first name, or a two-word first name, won't link on their own yet: email hello@onhandsolution.com before you bring in your past year and we'll link them.
4. Your guests (5 min)
In Square:
- Nothing to export: On Hand reads your Square “Customer directory” once you connect.
- Prefer a file? “Customers” → “Customer directory” → “Directory” → “Import / Export” → “Export customers” → “All Customers” → “Export”, then “Download” when it's ready.
In On Hand: Connect Square, then tap Bring in from Square. Name, email, phone, address, birthday, when each one became a guest and her Square note all come in, and email unsubscribes are kept. Anyone already in On Hand is filled in, never doubled. Nobody is sent anything.
Bring in from Square brings your retail too (step 9).
Doesn't come over: Your Square groups and Loyalty points stay in Square: On Hand doesn't bring those over.

5. Formulas & notes (A few minutes per 10 cards)
In Square:
- Kept formulas in a guest's Square notes? Those notes come along with her when you bring your guests in. Square has no formula field of its own, and its help center lists no notes export.
In On Hand: Snap your formula cards, 10 at a time. On Hand reads them, and you check each one before it's saved. Kept them in a spreadsheet? Drop it here instead.
Doesn't come over: A formula file. Square has no formula field of its own, so there's nothing in Square to export. That's how Square is built, not a block on our side.
7. Your past visits (5 min)
In Square:
- Nothing to export: one tap brings in your past year of appointments, and the night after you connect, about 400 days of Square tickets come in as past visits.
- Prefer a file? On the Dashboard: “Appointments” (or “Payments” → “Appointments”) → “Settings” → “History” → “Export” downloads a CSV.
In On Hand: Tap Bring in my past year from Square at Your past visits. Each visit lands on the stylist's book and the guest's history, and nothing doubles.
8. Your upcoming book (1 min)
In Square:
- Nothing to paste: On Hand reads your Square Appointments through the connection.
In On Hand: Connect Square, and your Square appointments show up on Today on their own. On Hand only reads them; Square keeps booking.
Square's own calendar sync is Google-only and needs Square Appointments Plus or Premium. On Hand doesn't need it.

9. Your retail (10 min)
In Square:
- Nothing to export: Bring in from Square brings each retail item over with Square's counts.
In On Hand: Tap Bring in from Square (Settings → Connections → Square). Each item links one to one, with Square's counts, and services and color stay out. Then pick your brands for anything Square doesn't have.
Doesn't come over: Square stays your count of record only if you keep using Square's inventory.

10. Rewards (10 min)
In Square:
- Square Loyalty points stay in Square.
In On Hand: Set up your punch card: every paid visit punches. Add punches by hand for a regular, up to 10 at a tap.
Doesn't come over: Square Loyalty points don't carry over: On Hand doesn't bring points in. That one's on us. Your punch card starts fresh.
11. Gift cards, packages & memberships (10 min)
In Square:
- Square gift cards, packages and subscription plans stay in your Square. There's nothing to move.
- To see what a guest has left on a package: “Customers” → “Customer directory” → “Directory” → the guest → “Packages” → (•••) → “View history”.
- Before you count on a Square gift card or package for a ticket you ring in On Hand, check how Square takes it. We haven't confirmed that Square applies them to a ticket On Hand sends. Ask us at hello@onhandsolution.com.
In On Hand: Packages and memberships you sell from now on can live in On Hand (Rewards → Packages & memberships). For a Square package a guest still has: if you'll ring her visits in On Hand, add what's left on her page (Packages & memberships → Already paid for one) and use that count, so it's only used once. Nothing is charged.
Square packages need Square Appointments Plus or Premium, so keep your plan while guests still have credits.

12. Turn off Square's online booking (10 min)
In Square:
- On the Square Dashboard: “Appointments” (or “Payments” → “Appointments”) → “Online Booking” → “Channels” → turn off “Enable online booking” → “Confirm”.
- In the Square app: “≡ More” → “Online Booking” → turn off “Enable online booking”.
- Take down any Square booking buttons or widgets on your own site. A deleted widget shows an error wherever it's still on a page.
In On Hand: When On Hand booking opens for you, guests book on your own On Hand page. Turn Square's online booking off that same day.
Keep Square booking until On Hand booking opens for you. It's opening to salons a few at a time. Switching it off takes both the appointments and online permissions in Square.
13. Your Square Appointments plan (5 min)
In Square:
- Never close Square: it's how you get paid.
- Once On Hand booking is live for you, you can downgrade or drop your Square Appointments plan: “Settings” → “Account & Settings” → “Pricing & subscriptions” → “Manage” or “Change plan” → pick the plan, or “Unsubscribe”.
In On Hand: Keep On Hand connected to your Square. Mark this done on your checklist once your plan's where you want it.
Downgrades start at your next billing cycle. Packages and Square's Google sync need Plus or Premium.
